This position is in the Department of Molecular Microbiology. The position is located at McDonnell Pediatric Research Building. This position is for the Medical School Campus.
Position coordinates office functions, programs and schedules, provides administrative services, and performs specialized/technical duties with minimum supervision. Primary function is to coordinate logistics and itineraries for a weekly seminar series and annual retreat which includes frequent correspondence with internal and external faculty, staff, and students.
PRIMARY DUTIES AND RESPONSIBILITIES:
Weekly Seminar Series (During Academic Year)
Assists seminar committee (3 faculty members) with development of program seminar calendar for fall and spring semesters. Maintains and updates seminar schedule as needed.
Gathers speaker information, coordinates schedule/itinerary for the visit and initiates reimbursement of expenses and payment of honorarium.
Enters schedule on DBBS website and Dean’s Calendar website
Reserves auditorium and media equipment for seminar, conference room for student lunch, and orders refreshments and student lunch.
Prepares and posts seminar notice, including submission of seminar specifics to the WU Record and DBBS.
Assistant to the Coursemaster
Serves as the course assistant for the Medical Microbiology Course
Annual Retreat for MMMP Program
Coordinates agenda, venue, menu and logistics for annual retreat in conjunction with faculty host. This event is for ~150 people and is held offsite in October of each year.
Other Administrative functions:
Other events planning and coordinating: Department events (like the annual holiday party), United Way campaign, outreach programs.
Acts as back-up for Sr. Department Accounting Assistant.
Coordinates staff services, interoffice activities, schedules, programs, and related administrative needs.
Responsible for posting updates to department website and monitors.
Administers/prepares reports, minutes, correspondence, lectures and administrative materials required for the direction of the department.
Monitors the general maintenance of the building, notifies maintenance of problems, places work orders, and follows-up with housekeeping on the completion of tasks.
Processes TFC workorders and reconciles monthly TFC statement.
Assists with visitors and customers’ questions and needs.
Assists management and faculty with other administrative functions when needed.
Equivalent of Associate’s degree with 2-4 years experience in administrative support.
Experience in university/medical environment preferred.
Bachelor’s degree preferred
Prompt, professional and concise communication skills.
Ability to keep multiple project running smoothly and organized.
Working knowledge of general office equipment including Microsoft Office (Word, PowerPoint, Excel, Access), FIS, and similar programs.
The hiring range for this position is $18.80 - $23.99 per hour.
